Cancellation Policy

Costs are incurred by the conference organizers for all cancellations and changes (non-refundable credit card processing fees and administrative fees). Our cancellation policies are designed to offset these costs and to ensure the sustainability of the event for others. These policies are final. All registrations are non-transferrable. 

PLEASE NOTE: If you need to cancel your in-person registration, please ensure you also cancel any travel arrangements you made (flights, hotel rooms, etc). CWIM Gather is not responsible for any travel-related costs.

IN-PERSON REGISTRATIONS

Cancellations until February 28, 11:59pm ET: 

Full refund minus $100 administration fee

OPTION: Convert your registration to virtual, and receive a full refund for the difference in fee (administration fee is waived).

Cancellations between March 1 and April 30 11:59pm ET:

50% refund for any cancelled registration fees

BONUS: Virtual conference registration (value $575) will ALSO be provided for cancellations during this time. This includes a swag box shipped to your door, access to all plenary sessions May 31 & June 1 virtually (including any applicable CME credits), and access to the recordings on-demand for three months.

Cancellations May 1 onwards:

No refunds for cancellations. 

BONUS: Virtual conference registration (value $575) will ALSO be provided for cancellations during this time. This includes a swag box shipped to your door, access to all plenary sessions May 31 & June 1 virtually (including any applicable CME credits), and access to the recordings on-demand for three months.

VIRTUAL REGISTRATION

Virtual registrations are non-refundable. In the event that you are no longer able to attend the sessions live, your registration fee will still provide you with:

  • Access to all recorded sessions (including CME credits where available) for 3 months following the event

  • Ability to submit questions

  • Access to all conference materials and online discussion forums

  • CWIM Conference swag box delivered to your door

Force Majeure

If the CWIM Conference Organizing committee determines that the conference cannot be held in-person due to COVID-19 or other pandemic (either due to Public Health guidelines or a large number of cancellations due to a pandemic situation worsening in Canada) all registrations will be automatically converted to virtual with the difference in registration fees refunded. The cancellation policy above will still apply. 

This also applies to any other unforeseen emergencies that would restrict the ability to hold an in-person conference including strike, lock-out, riots, insurrection, war, pandemic, natural disaster or weather emergency restricting travel, government-imposed lockdown, act of God. 

The conference organizers reserve the right to change the schedule or replace a speaker if unforeseen circumstances arise. If a workshop is fundamentally changed, a refund will be offered. CME credits for any session are not guaranteed until an official announcement is made.
